EduMS ("the app", "we", "our") is built and operated by Akshay Kotish & Co. (CIN U72900HR2022PTC101170 · GSTIN 06AAWCA4919K1Z3). This page explains what data the app collects, why, and your rights over it.

1. What we collect

Account data — name, phone number, email (optional). Required for sign-in (phone-OTP) and to identify your owner / student profile.
Profile data — your role (owner / student / staff), workspace name, optional profile picture.
App content — the records you create in the app: members, plans, attendance, dues, payments, receipts. This is your data, owned by you.
Payment metadata — for online payments we record gateway transaction IDs, last-4 of the card (where shown by the gateway), payment status. We never store full card numbers, CVV, UPI VPAs, or PINs.
Diagnostics — crash logs, performance metrics, feature-usage events to keep the app working. No third-party advertising SDKs.
Approximate location (optional, students only) — used solely to show nearby libraries / centres in the search screen. Never shared.

What we do not collect

Precise location, contacts, SMS, calendar, microphone, browsing history.
Health data, financial-account credentials, passwords for any other service.
Camera frames except those you explicitly attach via the system photo picker.

2. How we use it

To run your workspace — show your dashboard, attendance, dues, receipts.
To process payments through a licensed payment-aggregator, and to settle owner payouts.
To send transactional notifications (plan expiring, payment received, attendance reminders).
To diagnose crashes and improve the app. Diagnostics are aggregated and not used to identify you.

3. How we share it

We do not sell your data and we do not share it with advertisers. We share only with:

Your workspace owner (if you are a student / member) — they see records they created about you.
Payment gateway (Razorpay / equivalent licensed PA-PG) — only what's needed to process the transaction.
Cloud infrastructure (Google Cloud, India region where available) — for storage and compute. Encrypted at rest and in transit.
Law enforcement — only when legally required by valid Indian court order.

4. How we protect it

TLS 1.2+ for everything in transit.
Encryption at rest on all managed databases.
Role-based access control — owner-staff only see their workspace; we (Akshay Kotish & Co. employees) only access account data when you raise a support request.
Phone-OTP authentication — no passwords stored.

5. How long we keep it

Account data: until you delete your account. After deletion, scrubbed within 30 days from active systems and within 90 days from encrypted backups.
Financial records (payments, GST invoices): retained for 8 years as required by Indian tax law, even after account deletion. These are stored separately and not used for any other purpose.
Diagnostics: 90 days, then auto-purged.

6. Your rights

Access — see the data you've stored, anytime, in the app's profile screen.
Export — download your workspace's records in CSV (owners) or your profile in JSON (students). Available in Settings → Export.
Correction — edit your own profile fields directly in the app.
Deletion — request full account deletion at edums.akshaykotish.com/deletion, in-app at Settings → Delete account, or by emailing connect@akshaykotish.com.
Withdraw consent — you can revoke optional permissions (location, photos) from your device's system settings without losing access to the app.

7. Children

EduMS is intended for users 13 and older. Parents may use the app on behalf of younger students, but we do not knowingly create accounts for users under 13. If you believe a minor has registered, please contact us and we will delete the account.

8. International users

EduMS is operated from India. By using the app, you consent to data being processed in India and other regions where our cloud provider operates. We rely on Standard Contractual Clauses where required for cross-border data flows.

9. Changes to this policy

If we change this policy materially, we will notify you in-app and update the "Last updated" date above. Continued use of the app after changes constitutes acceptance of the new policy.
